Managing folders and emails in Private Email

This article applies to the new Private Email webmail.

Managing folders in Private Email


Your Private Email mailbox comes with six default folders designed to help you organize and manage your messages:
  • Inbox: The primary location for all incoming messages. Unless an email is automatically redirected by a custom filter or manually moved, it will land here by default.
  • Drafts: Holds unfinished or unsent emails. You can start composing a message and save it here to edit, complete, or send at a later time.
  • Sent: Stores copies of all messages sent from your mailbox.

If you currently use or have previously used an email client, you may notice an additional Sent folder created by that app. If you have any trouble removing duplicate folders or locating your sent emails, please feel free to reach out to us via Live Chat or at pesupport@namecheap.com.

  • Archive: Used for storing emails you want to remove from your Inbox or other folders without deleting them.
  • Spam: Contains suspicious or unsolicited emails automatically flagged by the spam filter, as well as messages you manually mark as spam.
  • Trash: Holds deleted email. Messages in this folder can be restored or permanently deleted.

You can also create subfolders to better organize your emails. To do this, simply hover over the Inbox folder, click on the three dots next it, and select the Create subfolder option:



NOTE: Creating new main folders (such as Inbox or Sent) is currently not supported in Private Email. You can still create subfolders within existing subfolders:



For users who previously used legacy Private Email: If you previously used legacy Private Email, you might notice that after the migration, your folders are no longer sorted alphabetically and will appear below the default folders. Custom folder reordering is currently not available, but you can move folders by clicking and holding a folder, then dragging it to a new location. You can also easily locate any folder using Ctrl + F (or Cmd + F on Mac).


Managing emails in Private Email


Inside your folders, emails are automatically displayed in chronological order - from newest to oldest. Each email in Private Email is currently displayed individually rather than grouped into email threads (conversations). Threaded view is not available at the moment.


Currently, custom reordering or alternative sorting by date, sender, size, etc. or read status is not available. To keep your inbox organized, we recommend:
  • Using the Search Bar: Easily find specific messages by typing keywords, sender names or subject lines into the main search bar at the top.



    NOTE: Search only looks within the folder you currently have open. Additionally, email search is not available on the mobile interface. To search through your emails, please use the desktop interface and open the specific folder you want to search in.

  • Organizing into Subfolders: Move processed emails out of your main Inbox into dedicated subfolders to maintain a clean view.

    To move an email to another folder on a computer, simply use drag and drop: click on the email, hold down the mouse button, and drag it directly into your desired folder.



    NOTE: Since the Move button is currently unavailable, moving emails via drag and drop is only possible using a desktop interface.

In order to select multiple emails, it's possible to open the Inbox or the needed folder, press and hold Ctrl (or Cmd on Mac) on the keyboard, and select the needed emails with a mouse:



If you want to select all emails in a folder at once, simply click the Select All button after selecting multiple messages or Ctrl+A (or Cmd+A on Mac).

Once selected, you can mark the emails as Unread, add them to Favorites, Archive or Delete them, or mark them as Spam using the toolbar options on your screen. You can also drag and drop the selected emails directly into any other folder:



NOTE: Clicking on an email directly will automatically open it and mark it as read. However, if you hold down the Ctrl key (or Cmd on Mac) to select multiple emails, the additional emails you select will remain unread.



Managing deleted emails in Private Email


If you only want to remove specific messages from the Trash folder, select individual emails inside the Trash folder and click Delete:



To permanently delete all messages from the Trash folder at once, click the three dots next to the Trash folder name in the sidebar and select Empty folder:



If you need to move an email out of the Trash folder, simply drag and drop the message back into your Inbox or any preferred subfolder.

NOTE: Auto-deletion for old emails is currently not available. Messages in the Trash folder are not removed automatically, so they can only be deleted manually - either by removing individual emails or clearing the entire folder.
